Maximum Occupancy Restrictions & Unit Usage
⦁ Per the Bay County Florida Fire Code, each property has a maximum occupancy limit. You must abide by the occupancy limit for your rental as listed below. The only exception is a child in a crib. If you are found to be in violation of the Fire Code, it is grounds for immediate removal by the Fire Department with no refund of unused days remaining on your rental. At no time is the property to be sublet to another individual.

Check in and Check out:
⦁ You will receive check in and check out instructions 72 hours prior to your arrival date by text/e-mail that will include the lock code for your stay. To check in, please go directly to the condo and use your code for entry after 4:00PM. Your code will expire at 10:00AM on check out day. Your code will only work for the time listed above. If you have difficulty with the lock, please call or text us. On check out day, please follow check our procedures posted in the property and provided to you through text and email.Failure to leave the condo in good condition and by the time designated at the end of the rental period will result in additional charges for late checkout, cleaning such as trash not deposited in appropriate containers, evidence of smoking or vaping, evidence of unapproved animals, etc.
Parking Passes and Wristbands:
⦁ You will receive a registration link one week before your check in. This is the HOA web site where you can register for parking passes and your dogs (if approved by owner).
⦁ Parking and wristbands policies are governed by the Sugar Beach HOA. You agree to abide by the parking and wristband policies in effect at the time of your stay. Parking is limited to (2) parking passes and wristbands will be provided to you according to Sugar Beach rules at check in.
⦁ Parking passes are $37 each, paid to the HOA.
Complex Rules:
⦁ Complex rules are posted in your vacation rental property. You agree to abide by these rules. If violations occur you may be fined by the Sugar Beach HOA or you may be removed by Sugar Beach. If this occurs, you agree to waive any statutory rights to a refund for unused days.
Payments & Charges:
⦁ A 50% deposit of the rental, fees, and taxes is due at the time of the reservation. The full reservation balance is due 7 days before arrival. Failure to pay the balance when due will result in cancellation of your reservation.
⦁ Non-payment or declined payments or returned checks will result in cancellation of the reservation.
⦁ Guest agrees to pay the following and not limited to: charges for missing items, damages to property in the condo.
Guest Requirements, Minimum Age to Rent and Communications:
⦁ The guest placing the reservation must be at least 25 years old and remain at the condo for the entire rental period; and must ensure compliance with the rental terms by all other guests staying at the condo. Must show ID at front office upon arrival. The guest making this reservation agrees to be responsible for supervising all guests listed and any additional invitees to insure that they comply with the terms of this agreement and all rules and regulations of Sugar Beach. Reservations will be cancelled with no refund if guest provides false information , including failure to meet age requirements for the rental during the reservation process.
Catastrophic Events & Emergency Evacuations
⦁ If a catastrophic (hurricane, tornado, earthquake, flood, etc) or any situation beyond our control (power outage, plumbing issues, etc) impairs the condo, the owner is NOT responsible for finding alternate lodging for the guest(s) or for the guest’s financial losses related to transportation or alternate lodging. If a mandatory evacuation is ordered, you will receive a full refund of the days the condo was unused. Cleaning fees, parking passes are not refundable once you have checked in.
Grievance Policy and Guest Complaints:
⦁ Please contact us immediately with any complaints or concerns. Guests have a duty to report any complaint and to allow us or our vendors entry to the condo and a reasonable amount of time for us to address the complaint. Housekeeping issues must be reported within 12 hours of arrival and will be remedied by our housekeepers. No refunds for housekeeping charges.
Damage to the Property:
⦁ All damage to the condo must be reported to the owner within 12 hours of discovering damage or after accidental damage occurs. Please complete an arrival inspection when you arrive and check in. If damage occurs to the condo, whether reported by the guest or discovered after departure, the guest is responsible for the cost of repair and/or replacement. The guest agrees that any damage caused by the guests will be paid upon checkout.
Smoking, Vaping, Open Flame Candles and Grills:
⦁ Smoking and vaping are prohibited inside the Property and on patio.
⦁ Guests are prohibited from using candles with open flames including outdoors on patio.
⦁ Per Fire Department regulations, grills are not allowed on condo patios.
⦁ Guest agrees that any evidence of smoking and/or open flames/candles (cigarette butts, ashes, smoke smell, burn holes, char marks, etc.) found after your departure will result in an extra cleaning charge and charges for any damages billed to you.
Noise & Quiet Hours:
⦁ Guests must comply with posted quiet hours (10pm-8am). The condo is in a residential building. Excessive noise at a level that disturbs the neighbors is prohibited. Guest is responsible for payment of any fines resulting from violations of community noise rules.
Pets or Animals Allowed:
⦁ The condo and Sugar Beach have rules and regulations regarding pets. You must contact the owner prior to booking to discuss bringing a dog(s). The Owner must approve any dog that the guest is planning to bring. Failure to get approval before bringing a dog will result in cancellation of the reservation without a refund. Sugar Beach has rules on types of dogs permitted and allows 2 (maximum) dogs per unit. Additional pet fees will be paid to the owner and Sugar Beach if dogs are approved by the owner. All dogs must be registered at the Sugar Beach prior to arrival.
⦁ Pet fee paid to owner: $50
⦁ Pet fee paid to HOA: 3 nights or less: $80 (1 dog), $120 (2 dogs)
4 nights or more: $150 (1 dog), $200 (2 dogs)
Service Animals & Emotional Support Animals:
⦁ Service Animals, as defined by FL Statute 413.08 (2017), including all service animals in training, are welcome in the condo. Please make us aware of your Service Animal or any proposed ESA at the time of booking. Emotional Support Animals (ESAs) require a written request and approval in advance before being allowed on property. The owner reserves the right to evict guests for failure to obtain advanced approval for ESAs. The owner reserves the right to remove any animal for inappropriate behavior. NOTE: A person who knowingly and willfully misrepresents herself or himself as using a service dog or being qualified to use a service dog commits a misdemeanor of the second degree, punishable as provided in s 775.082 or s. 775.083.
Left, Lost, Stolen Items
⦁ The owner is not liable for lost, missing, or stolen personal property items during your stay. We will help the guest recover the items if possible. If items are found at the croperty after your departure, we will make every effort to return the items to you. If the items need to be mailed or shipped, the guest agrees to pay for the service.
Complex Access & Use:
⦁ The owner is not responsible for the shared amenities at Sugar Beach. The shared pool, club house, laundry room, tennis courts, etc., are out of the owner’s control. If there is an issue with any of these shared amenities, please contact the Sugar Beach front office at (850) 234-2102
SAFE USE
⦁ The guest shall comply with all laws and rules affecting safety. Fireworks, gas grills, open flames, intoxication by occupants and any dangerous activities are prohibited.
Furniture, bedding, bath towels, etc. are not to be taken outside.
No social functions, parties are allowed at the condo or Sugar Beach property.
Beach Flag Warnings
⦁ Bay County Florida has a beach flag system to warn of dangerous conditions. Guests must comply with all beach warnings and local authorities.
We do not provide beach towels or beach chairs. Please bring your own.
Please keep sliding glass doors closed. This helps us control the moisture levels in the condo, as well as with the maintaining the AC, and keeping out unwanted bugs.
Absolutely no showering off sand in the condo shower.
⦁ Please make sure all sand is rinsed off before entering the condo. There are four showers and hoses by the private beach entrance. Please completely shower off all sand before reentering the condo. Thank you for helping us keep sand out of our condo!
CRITICAL: PLEASE ONLY FLUSH TOILET PAPER DOWN THE TOILET.
⦁ We have sensitive pipes at Sugar Beach. Please help us by being cognizant of how much toilet paper is put into our toilet.
⦁ Feminine products, tissues, paper towels, baby wipes, facial wipes, etc. will cause the toilet to back up, 100% guaranteed. If the plumbing backs up and the plumber determines it was due to guest negligence, additional charges will be collected to the cost of the plumbing service.
Inherent Risks:
⦁ You agree that by using the condo or its amenities, you willfully assume any risks and assume responsibility for all choices you make before, during, and after your use of the condo and its amenities. You also acknowledge and agree that you and any other adult occupants are solely responsible for closely supervising and protecting the health and safety of all guests that are minors, throughout the duration of your stay.
